Automatic duty tracking for hospitals with residents on the move

Overview

Duty Hour is a hospital resident duty tracking and workforce management platform designed to automate attendance, shift tracking, and compliance across multiple hospitals and departments. Using geofence-based technology, the system automatically detects when a resident enters or leaves a hospital, triggering seamless clock-in and clock-out without any manual action. Residents can view their duty status, working hours, and activity history through a mobile app, while hospital administrators manage departments, assign residents, monitor live attendance, and review compliance through dedicated web dashboards.

The project was born out of a real operational gap in modern healthcare systems: residents rotate across multiple hospital branches, departments, and locations throughout their training, yet the tools to track their presence and hours remained manual, fragmented, and error-prone. The platform supports multi-institution workforce management, and provides a Super Admin panel for overseeing hospitals, subscriptions, revenue, and system-wide administration from a single interface.

The Problem

Manual attendance couldn't keep up with how residents actually work.

Residents rotate across multiple hospitals and multiple branches within a single system but marking attendance was a manual, site-by-site process, meaning a resident had to be checked in at one location before they were cleared to work at the next.

No real-time visibility across institutions.

Hospital admins had no live view of who was on duty, who was approaching hour limits, or where compliance gaps were forming across departments. By the time issues surfaced, they were already behind.

Workforce structure lived outside the system.

Departments, residents, shift rules, and holiday policies were managed informally or across disconnected tools. There was no single place where a hospital's actual operating structure could be defined and enforced automatically.

No scalable way to manage growth.

As hospital systems added more departments, residents, and locations, there was no structured way to distribute role-based access, delegate management to HR or Department Managers, or maintain centralized oversight without manual overhead.

The Problem

Let geofencing do the work attendance used to require by hand.

The core idea behind Duty Hour: the moment a resident is in the vicinity of their assigned department at their assigned hospital, they should be automatically marked present no check-in required, no delay, no room for error. From there, the opportunity was to build the full operational layer around that automation: real time monitoring for hospital admins, role-based management for HR and Department Managers, and centralized control for the organizations running multiple institutions at once.

Geofence-Based Auto Clock-In / Clock-Out

The system uses the resident's coordinates against pre-defined hospital geofence radii to automatically start and end shifts. Debounce timing and speed filtering prevent false detections from drive-bys or GPS drift, so only genuine on-site presence triggers a session.

Resident Mobile App

Residents log in to see their real-time duty status, today's total, week and month summaries, and a detailed timeline of every shift with hospital name, start/end time, and duration.

Offline-First Reliability

The app works in the background without continuous tracking, storing events locally when there's no connection and syncing automatically once it's restored so a dead zone inside a hospital never costs a resident their hours.

Hospitals can create HR and Department Manager roles with scoped permissions, distributing resident creation, assignment, and holiday management without handing over full admin control.

Holiday & Shift Rule Configuration

Configurable holiday types (public, institutional, emergency closure) and shift rules grace periods, minimum shift duration, session merging so duty tracking automatically reflects each hospital's actual policies.

How We Built It

Duty Hour moved through a full-lifecycle engagement from understanding how residents actually move through a multi-site hospital system to a live platform running across mobile and web.

Research & Discovery

We started with Mark's core problem: residents working across multiple hospitals and branches, and the operational gap left by manual, site-by-site attendance. We mapped how a resident's day actually moves between institutions, how hospital admins needed to monitor that in real time, and how the system needed to scale from a single hospital to a full multi-institution operation. This shaped the three-tier structure: Resident, Hospital Admin, and Super Admin.

Branding

We developed Duty Hour's identity name expression, logo, visual system, and tone of voice designed to feel precise and trustworthy, in line with the operational seriousness of hospital workforce management.

UX & High-Fidelity Wireframes

We designed the complete user experience across the resident mobile app, hospital admin dashboard, and Super Admin portal mapping every flow from automatic geofence check-in to real-time duty monitoring, role-based admin access, and cross-institution reporting before a single screen was finalized.

Frontend & Backend Development

We developed the resident mobile application in Flutter and the Hospital Admin and Super Admin web portals using React JS. The backend handles geofence logic, role-based access control, and multi-institution data architecture. The entire platform was deployed and hosted on Hostinger.

Software Quality Assurance (SQA)

Our QA team ran structured testing across devices, user roles, and geofence scenarios ensuring every release met the reliability standard a hospital workforce management platform demands.
